Privacy Policy

This policy explains what personal information Royal Delite Food & Consumer Brands Ltd collects through this website, why we use it, who processes it on our behalf, how long we keep it, and the rights available to you.

Who we are and how to contact us

Royal Delite Food & Consumer Brands Ltd is a company incorporated in the United Kingdom. We are the controller for the personal information described in this policy. Royal Delite Holdings is a separate entity and is not covered by this policy.
UK contact address: 453A New Cross Road, London, SE14 6TA, United Kingdom. Privacy and data-protection enquiries: privacy@royaldelitefood.co.uk.
This address is our UK contact address for correspondence about this website. We do not publish a registered office, company number or data-protection officer on this page, and none should be inferred.

The information we collect

Identity and contact details — your name or contact person, business email address and, where you provide it, your telephone number and country.
Company and business-enquiry details — company or trading name, business type, customer type, the products or services you are interested in and the content of your message.
Supplier, trade-account, quote and private-label information — details you choose to give in the relevant form, such as product categories supplied, capacity and markets served, billing and delivery addresses, purchasing requirements, trade references, product briefs, packaging requirements and indicative volumes. Any company registration number is only what you type into the trade-account form; we do not add or verify one.
Communication preferences — your preferred contact method and any indication of how quickly you need a response.
Privacy-acknowledgement record — a stored record that you confirmed you had read this policy before submitting a form, together with the page the submission came from.
Authentication data for authorised administrators — sign-in credentials handled by our authentication provider, together with session and password-reset records. This applies only to our own authorised staff accounts, not to public visitors.
Technical information — information reasonably generated by hosting, security and error logging, such as request metadata and error diagnostics used to keep the website available and secure.

How and why we use it

Identity, contact and business-enquiry details are used to read, route and answer your enquiry, to prepare a written quotation where requested, and to keep a record of business correspondence.
Supplier, trade-account and private-label information is used to assess an application or project enquiry and to decide whether and how we can work together.
Communication preferences are used to contact you in the way you asked and to prioritise urgent requirements.
The privacy-acknowledgement record is kept to evidence that our transparency information was presented at the point of submission.
Administrator authentication data is used only to control access to the protected enquiries area and to keep that area secure.
Technical information is used to operate, monitor, debug and protect the website and to investigate misuse.

Our lawful bases

Legitimate interests — handling ordinary business-to-business enquiries, corresponding with trade contacts, keeping internal records of enquiries, and protecting the website against spam, misuse and security incidents. Our interest is in running and protecting a business-to-business operation, and we consider the limited business-contact nature of the information when relying on this basis.
Steps requested before entering a contract — where your enquiry, quotation request or trade-account application is a step towards a possible supply arrangement.
Legal obligations — where we must retain records, for example for accounting, tax or the handling of legal claims.
Consent — only for genuinely optional processing. The privacy acknowledgement on our forms is a mandatory transparency confirmation that you have read this policy. It is not treated as GDPR consent, and it does not sign you up to marketing. We do not send marketing from this website's forms.

Telephone numbers

A telephone number is optional on the contact, quote, supplier and private-label forms. It is required on the trade-account application, and it is required on any form where you select telephone as your preferred contact method, because we would otherwise be unable to reply as you asked.
Where you give a telephone number, we use it only to progress your enquiry — for example to clarify a specification or a quotation. Telephone numbers you submit are never published on this website and are not used for marketing.

How enquiries are handled

Our forms are storage-first. When you submit a form, the validated information is written to our enquiries database first and given an enquiry reference and a status. Each enquiry is then assigned to the relevant internal department — for example sales, trade, suppliers or general enquiries — based on rules applied on our server rather than on anything selectable by the sender.
After the record is stored, we attempt to send an internal notification to that department. If the email service is unavailable or not configured, the enquiry remains stored and the notification status is recorded honestly so the enquiry can still be actioned.
Only authorised administrators can read enquiry records, through a protected, access-controlled area of this website.

Internal notification emails

Internal notification emails are sent through the email connector configured for this website, which uses the Resend email delivery service. The notification contains the enquiry details you submitted, so that the correct department can respond. It is sent to our own departmental addresses on the royaldelitefood.co.uk domain, and not to any third party.

AI Trade Assistant

The AI Trade Assistant on this website is an informational guide. When you send it a message, that message and the recent conversation context are transmitted through the Lovable AI gateway to the configured AI model provider in order to generate a reply.
Assistant conversations are not stored by this website as customer enquiries and are not added to our enquiries database. We cannot make claims about how long the AI gateway or the model provider may process or retain the request on their own systems, so please do not enter personal, confidential, financial or payment information into the Assistant.
The Assistant provides general information only. It does not make legal or similarly significant decisions about you, and it does not carry out automated decision-making or profiling that produces legal effects. Any commercial outcome — a quotation, a trade account, a supply arrangement — is decided by our team.

Website analytics and your consent

Enquiry handling and website analytics are separate matters. The information you submit through our forms is processed to answer your enquiry, as described above, and is not analytics data.
We have selected Plausible Analytics as the optional analytics provider for this website. It is not active yet: nothing measures your browsing until the site-specific Plausible configuration is in place on our live website address and you have accepted optional analytics.
Once active, analytics will only operate where you have given explicit consent through the preference notice, and it will use privacy-safe event data — for example the page path, a coarse page type, which call to action or enquiry route was selected, and campaign or referrer metadata such as UTM parameters and a broad referrer category.
Analytics events explicitly exclude your name, email address, telephone number, message text, AI Trade Assistant conversations, any value you type into a form, and any document you send us. We do not use analytics for session replay, advertising audiences, fingerprinting or cross-site identity matching.
Where an enquiry needs to be counted, the stored enquiry record and its reference remain our source of truth. Analytics is never the record of your enquiry.
Before analytics is switched on, we will confirm in this policy and our Cookie Policy the retention period and any international transfer arrangements that apply to it. We are not stating those details now because they are not yet confirmed in our provider account settings.
You can change or withdraw your preference at any time using the "Manage preferences" link in the footer of every page. Choosing essential only takes effect immediately, and continued browsing is never treated as consent.

Who processes your information

Website and database hosting and authentication providers — who host this website, store the enquiries database and manage administrator sign-in on our behalf.
Email delivery — the configured connector and the Resend email service, used to deliver internal notifications.
AI processing — the Lovable AI gateway and the configured AI model provider, used only to generate Assistant replies.
Professional advisers, and suppliers or logistics partners — only where genuinely necessary to progress your specific enquiry or to meet a legal or accounting obligation.
We do not sell personal information and we do not share it for advertising or profiling.

International transfers

Some of the providers above may process information outside the United Kingdom. Where that happens, we rely on the contractual and other lawful transfer safeguards required by UK data-protection law for that provider. We do not name a specific transfer mechanism here because we do not want to state anything we have not independently verified for each provider. If you would like to know the position for a particular provider, contact us and we will tell you what we hold on that point.

How long we keep information

We have not set fixed retention periods for website enquiries, and we do not want to publish a figure that is not formally approved. Instead, we keep information only for as long as one of the following purposes requires it: handling and following up your enquiry; managing any resulting or prospective contractual relationship; maintaining necessary business, accounting or tax records; protecting the security and integrity of the website; and dealing with any legal claim or regulatory obligation.
When none of those purposes applies any longer, the record is deleted or anonymised. Assistant conversations are not retained by this website at all.

Your rights

Subject to the conditions in UK data-protection law, you have the right to ask for access to the personal information we hold about you, to have inaccurate information corrected, to ask for erasure, to ask us to restrict processing, to object to processing carried out on the basis of legitimate interests, and to data portability where the processing is carried out by automated means on the basis of consent or a contract.
Where processing genuinely relies on your consent, you may withdraw that consent at any time. Withdrawal does not affect processing already carried out, and it does not apply to the mandatory privacy acknowledgement on our forms, which is a transparency record rather than consent. To exercise any right, email privacy@royaldelitefood.co.uk or use our contact form. We may need to ask for information to confirm who you are.

Complaints

If you are unhappy with how we have handled your information, please tell us first at privacy@royaldelitefood.co.uk so we can try to put it right. You also have the right to complain to the UK Information Commissioner's Office, the UK supervisory authority for data protection, at ico.org.uk.

Whether you have to provide information

Providing information through our forms is voluntary — you are never obliged to submit an enquiry. However, fields marked as required are needed for us to identify you, understand the requirement and reply. If you do not complete them, the form will not submit and we will not be able to respond. Optional fields simply help us give a more useful answer.

Security

Submissions are transmitted over encrypted connections and stored in a database with access restricted to authorised administrators, who sign in through an access-controlled area. Notification emails are sent only to our own departmental addresses. We keep server-side logging free of enquiry content and credentials.
No website can be guaranteed completely secure. Please do not send confidential documents, bank details or payment card information through website forms or the AI Assistant. If your enquiry progresses, our team will arrange an appropriate channel.

Children's information

This is a business-to-business website intended for trade users acting on behalf of a business. It is not directed at children and we do not knowingly collect information about children. If you believe a child has submitted information through this website, contact us and we will delete it.

Changes to this policy

We may update this policy to reflect changes to the website, our internal processes or the providers we use. The current version is always published on this page with the date it was last updated. Where a change is significant, we will make that clear on this page.
Last updated: 20 September 2026. We review this policy as the website and our processing arrangements develop. For any privacy question or request, email privacy@royaldelitefood.co.uk.
