What to include in a wholesale food sourcing brief

A clear sourcing brief gives a supplier a defined requirement to assess and helps the buyer compare responses on the same basis.

A request for “your best price” leaves important questions unanswered. Two quotations can look similar while covering different pack sizes, quantities or delivery arrangements. A clear sourcing brief gives a supplier a defined requirement to assess and helps the buyer compare responses on the same basis.

Describe the product precisely

Provide the product name, required grade or specification and intended use. Where relevant, state ingredients, origin preferences and packaging requirements. Distinguish essential requirements from preferences. If an alternative could work, explain what can change and what cannot.

State the pack and order format

Include the weight or volume of each unit and the required units per case. State the trial quantity and any expected repeat requirement separately. A forecast should not be presented as a confirmed order. For own-brand products, identify whether artwork and packaging specifications are ready or still being developed.

Give a destination and delivery window

A supplier needs to know where the goods are going and when they are needed. Give the delivery postcode or destination port, the preferred delivery period and relevant receiving constraints. Ask the supplier to explain exactly what its quotation includes and excludes, rather than assuming the quoted goods price covers every delivery cost.

Request evidence relevant to the product

Ask for the product specification, shelf-life information and storage conditions needed for your review. Identify any buyer-specific documentation requirements early. Check that documents relate to the actual product and supplier being considered. A commercial quotation by itself does not establish that every destination or customer requirement has been met.

Compare the complete proposal

Review the product, quantity, delivery basis, payment proposal, quotation validity and lead time together. Record unresolved charges and assumptions before making comparisons. A lower unit price may not produce a lower overall procurement cost if it requires a much larger order or additional handling.

Send a brief that can be assessed

Use this starting format: product and specification; unit size and case format; trial quantity; expected repeat volume; destination; delivery window; required documentation; and buyer contact. Royal Delite reviews sourcing and supply enquiries against the stated requirement, with feasibility and commercial terms confirmed in writing. [1]
